Title: Administrative and Bookkeeping Assistant

Job Type: Full-time

Zephyr Homes, one of the fastest growing Home Building companies in Central Florida, seeks a highly motivated and energetic Executive Assistant for its Ocala, FL location, reporting directly to the firm’s Founder & Managing Principal. The deal candidate is a professional who is a self-starter with excellent communication and organizational skills, with attention to detail and a team player. The Executive Assistant will work closely with our team members in Sebring Fl.

JOB RESPONSIBILITIES INCLUDE:

  • Responsible for all administrative tasks, clerical, and project management, home warranties and assignments
  • Function as the point of contact between the Managing Principal and internal/external contacts
  • Maximize efficiency by streamlining the management and organization of the Managing Principal’s calendar by scheduling appointments, meetings and daily activities while assisting in CRM accuracy and maintenance
  • Assist with day-to-day office tasks, and organize workflow
  • Interface with multiple professional and personal third-party contractors and vendors at office and jobsites
  • AP due diligence and implementation, subcontractor verifications, and other various bookkeeping tasks

KNOWLEDGE, EXPERIENCE AND SKILLS:

  • Strong organizational and problem-solving skills with impeccable multi-tasking abilities
  • Excellent verbal and written communication skills with the ability to manage key internal and external relationships
  • Strong Bookkeeping knowledge in all aspects
  • Accountable and responsive with a sense of urgency concerning tasks or assignments
  • Proactively takes initiative and is a true team player
  • Ability to listen, learn, retain information, provide feedback, and streamline processes
  • Capacity to work in a challenging fast paced team environment
  • Pleasant demeanor serving as one of introductory faces of the firm when interacting with public
  • Experience as an Executive Assistant with exposure to building construction is preferred
  • Professional appearance
  • Associate or bachelor’s degree preferred but not necessary
  • Excellent knowledge of MS Office suite

COMPENSATION

  • Compensation commensurate with experience and education

Schedule:

  • 8 hour shift
  • Monday to Friday

Ability to commute/relocate:

  • Ocala, FL 34471: Reliably commute or planning to relocate before starting work (Preferred)

Experience:

  • Bookkeeping: 2 years (Required)
  • Microsoft Excel: 2 years (Required)
  • Computer skills: 3 years (Required)
