ESSENTIAL FUNCTIONS
Working within the service department, the Account Specialist supports the Service Administrator by assisting with billings, purchase orders, credit card reconciliations, collecting past due receivables and generally supporting a wide range of accounting activities for our service department.

The Accounting Specialist performs the following:

  • Generate service work order billings; interact directly with service technicians to ensure timely processing of service billings
  • Keep track of service customer purchase order numbers and billing requirements
  • Collect past due receivables relating to service work order billings
  • Answer A/R customer inquires
  • Close out completed maintenance work orders on a monthly basis
  • Enter purchase order details relating to service work orders and conduct research with vendors
  • Process service subcontractor invoices and maintain their insurance certificates
  • Assist with Company credit card reconciliations and charging purchases to work orders
  • Ability to effectively interact with office, sales, project management and customers
  • File, organize and maintain all paperwork connected with above referenced tasks
  • Respond to voicemail and email inquiries promptly and in a professional manner
  • Become proficient using company computer system
  • Maintain department confidentiality
  • Participate in cross training
  • Learn basic trade vocabulary
  • Perform additional tasks as assigned

QUALIFICATION REQUIREMENTS

  • Minimum two years’ accounting experience using accounting software
  • Must be very detail oriented
  • Research and troubleshooting abilities
  • Excellent ten key and keyboard skills
  • Possess strong written and verbal communication skills
  • Ability to accurately handle multiple priorities and meet deadlines despite frequent interruptions
  • Takes pride in one’s work and accepts responsibility for professionalism and accuracy
  • Project a friendly, professional attitude toward co-workers and customers
  • Ability to participate productively in a team environment
  • History of good employment attendance
