JOB SUMMARY


As an Executive Assistant, this individual will perform a wide range of administrative support activities to support the Chief Human Resources Officer, Chief Information Officer, and other key senior leadership team members. This position will also be responsible for the organization and coordination of office operations, procedures, and resources to facilitate effectiveness and efficiency for the office.


ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned.

  • Draft and edit correspondence, communications, presentations, and other documents.
  • Assist with calendar management for meetings and conference calls.
  • Coordinate and assist with meeting logistics including reserving meeting space, ordering food, arranging hotel and transportation needs, and any other meeting accommodations required.
  • Coordinate travel arrangements to include flights, hotel accommodations, transportation, and other travel needs.
  • Complete monthly expense reconciliation for corporate credit card and out-of-pocket expenses.
  • Partner with the Human Resources team to coordinate activities such as associate celebrations, volunteer activities, social engagements, and holiday celebrations.
  • Responsible for monitoring and ordering inventory for office and break room supplies and serving as the primary point of contact for all things office related.
  • Assist with additional projects as requested.


SUPERVISORY RESPONSIBILITIES
This position carries out supervisory responsibilities in accordance with company guidelines, policies and procedures, and applicable laws. Supervisory responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

EDUCATION, EXPERIENCE & QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • 3+ years of supporting key company executives.
  • Computer literacy and proficiency in the use of PC software such as MS Outlook, Word, Excel, and PowerPoint to create correspondence, reports, spreadsheets, & presentations.
  • Strong attention to detail and organization.
  • Event/meeting planning experience is highly desired.
  • Experienced professional communication style, particularly with Board members, executives, & senior-level staff while maintaining a high level of confidentiality accordingly.
  • Passionate, enthusiastic, team player, with good judgment and an ability to work in a fast-paced environment and adapt quickly to changing needs and priorities; proven ability to prioritize and manage multiple tasks simultaneously with little direction.
  • Office administration experience a plus.
