Job Title

We are an established Maine based Electrical Contractor seeking an experienced Operations/Project coordinator to fulfill a pivotal role in our growing Solar Electric division.

About the Company

Our customers are residential homeowners and business owners installing solar electric systems on their properties.

We are a team of experienced, organized, and qualified professionals that have built a business dedicated to the saticfaction of both our customers and our employees.

With a typical project taking 1-3 days and 2 installation teams performing solar and electrical projects simultaneously, this is a high volume, production contractor.

Job Purpose

The Operations/Project Coordinator services two constituencies: The Installation Department and Director of Operations

Solar Project Coordination manages the materials and information for multiple, simultaneous projects, with a focus on providing installation teams with the resources they need to execute their tasks in an efficient manner.

Solar Operations Coordination ensures that the processes required to move each project from preschedule, through installation and to completion is verified, completed, and recorded.

This role works closely and coordinates with the field supervisor, warehouse manager, permitting department, and estimating and design teams to ensure project installations are executed successfully, efficiently, and follow design specifications.

This role supervises the warehouse team whose responsibilities include maintaining inventory and purchasing, as well as staging materials for our field employees.

This role adheres to established processes and makes and implements approved improvements to these processes.

This role reports to the Director of Operations.

Day to Day Duties and Responsibilities

Follow an established project management process while contributing to the ongoing development and improvement of that process. Adhere to existing, and have a hand in the continued development of departmental processes to ensure operational excellence.

  • · Review design documents and project requirements prior to installation
  • Engage with customers, or their representatives (builders) prior to installations to establish expectations and proactively discover conditions specific to project to ensure a smooth installation.
  • Coordinate and assist material purchasing and receiving schedules with Warehouse Manager
  • Coordinate with Warehouse Manager to ensure that materials are on hand
  • Identify possible cost saving opportunities and/or risk items (shortages or delays in procurement)
  • Manage multiple projects at various stages from pre-installation to close out
  • Respond to request for information from field and from customers and coordinate immediate response for ongoing projects
  • Prioritize and execute multiple tasks and pay close attention to detail in a fast-paced environment
  • Manage schedule ‘look-ahead’ on a bi-weekly basis
  • Build and maintain good working relationships with customers, contractors, field staff, vendors and sales team members

Roles & Responsibilities

  • Manage work for multiple installation crews and employees, including logistics, product and material movement and customer engagement.
  • Ensure job timeframes and deadlines are met.
  • Collate employee hours, performance, quality and other operating metrics to assure installs are completed in a timely and successful basis.
  • Provide updates with job progress and modify plans to resolve delays, eliminate bottlenecks, and ensure projects are completed on schedule.
  • Collect, maintain and report information to Director of Operations as required for materials, schedule, costs, job progress
  • Communicate effectively with and provide departmental updates to Director of Operations and Senior Management

Physical Requirements

  • Primarily an office job with some work in warehouse environment
  • Able to work comfortably standing or sitting at a desk or workstation
  • Occasionally able to work safely and effectively outdoors in all weather conditions
  • Infrequent periods of kneeling, bending, crouching, and climbing ladders
  • Infrequent instances of overhead and at or below shoulder level working with tools and materials
  • Occasionally able to repetitively lift at least 60 pounds at a time

A Qualified Candidate will:

  • Have a background in Solar, HVAC, electrical or construction industry
  • Have Bachelor's degree preferred and/or experience in logistics, project management or related fields and/or minimum 3-5 years project coordinating experience
  • Read/comprehend blueprints, schematics, technical drawings, work orders, instructions, and process charts
  • Demonstrate that you are organized and methodical
  • Be excited to learn about solar and related electrical system components and functionality
  • Be polite and courteous; enjoy interacting with coworkers, customers and vendors
  • Be willing to follow directions and work as part of a team
  • Have computer skills, proficient in Microsoft Office, Excel, Google Workspace and able to learn our project management software

A Well Qualified Candidate will:

  • Have Solar or Electrical industry experience
  • Familiarity Solar and Electrical hardware and design
  • Project management experience
  • Have OSHA Certification
