Compensation: Salary range is $45,000-$55,000 per year depending on experience. This position does not include benefits.

Experience/License/Certification:

  • Real Estate Experience: 2 years (Required)
  • Administrative Experience: 2 years (Required) Executive Assistant, Transaction Coordinator, or Marketing Coordinator)
  • Hawaii Real Estate License (Required)

Requirements:

  • Candidates must have an active Hawaii real estate license to be considered for this position.
  • Exemplary planning, scheduling and time management skills
  • High level of verbal and written communications skills
  • Full comprehension of office management systems and procedures

ROLES + RESPONSIBILITIES:

Office Systems and Management

  • Maintain client database
  • Maintain MLS, Client Searches
  • Maintain transactions, contract to Close
  • Maintain project management (Birthdays, Home Anniversaries, Client Reviews)
  • Manage all reports, contracts, presentations and briefs
  • Create system/process solutions
  • Develop and monitoring efficient systems and processes
  • Manage office supplies
  • Set up showings
  • Dropbox and contact management
  • Maintain Prospect and Client lists

Support of CEO

  • Provide schedule support
  • Schedule all meetings and appointments
  • Make travel arrangements
  • Maintain lead generation efforts
  • Tend to daily client support
  • Handle all client correspondence and acting as the point of contact
  • Process all client wants and needs
  • Obtain and provide feedback from clients
  • Sign up agent for classes
  • Prepare closing gifts

Listing Coordination

  • Prepare listing package for appointments
  • Visit homes on occasion to take measurements
  • Turn on lights for showings when needed
  • Deliver flyers, shoe coverings, lockbox/Pickup
  • Checking on vacant listings weekly
  • Market the listing on social media and on website
  • Coordinate repairs, photos, staging, cleaning, lockbox and access requirements
  • Preliminary pricing – data entry

Transaction Coordination

  • Maintain contracts to closing table
  • Track all contract deadlines
  • Coordinate title/escrow, loan, appraisal process
  • Submit any necessary documentation to all parties involved
  • Provide discretion and confidentiality
  • Coordinate inspections and negotiations regarding repairs
  • Coordinate moving/possession schedules

Schedule:

  • 8-hours per day/40 hours per week
  • Monday to Friday
  • On call, nights and weekends
