We are seeking a detail oriented, dynamic new member of our amazing team of medical professionals to keep our busy office organized.

Boston Vitality is the premier men's health and wellness medical office in the Boston area and we are located a stone's throw off of Route 93 in Stoneham. We are the trusted destination for the treatment of medical weight loss, low-testosterone, and HGH peptide therapies, delivering the highest level medical expertise to every one of our patients. We provide world-class medical care in a boutique, patient-oriented environment. We pride ourselves on prioritizing patient experience, consistently providing high touch, personalized care to every single patient.

You will report to the practice manager and together further develop the processes that lead to efficient and effective patient care all while making the office a pleasant place to work with well organized systems in place.

Responsibilities:

You will ensure that the first point of contact for our patients is a positive one and that our office processes are solid, and followed. Must have exceptional patient relations skills to make each patient feel special and valued, as well as interpersonal skills to work with all of the staff. Will greet all incoming patients and manage all appointment scheduling, follow ups, patient inquiries, and special accommodations. Ensure that the reception/front area and telephones are being covered properly and work with the clinical team to help manage patient flow. Ensure all procedures, practices, patient interactions, and environmental factors promote and achieve a favorable patient experience.

Essential functions include, but are not limited to, the following:

Answer phones, text messages, emails and other inquires and schedule patient appointments and follow-ups

Interact with patients in a friendly and professional manner.

Checking patients in and out of their appointments, scheduling follow ups as needed.

Master a basic understanding of each service offering.

Maintain patient confidentiality at all times.

Assist clinical team with patient intake and client flow, including (but not limited to): new patient registration, questionnaire completion, consenting, room placement, etc.

Collecting and handling payments.

Confirmation and follow up calls/emails/messaging. Follow up with all patients post-treatment to review results, ensure client satisfaction and encourage them to review/recommend Boston Vitality.

Ordering office supplies.

Ensure that office / exam rooms are neat, organized and patient-ready at all times.

Qualifications:

-> Detail oriented.

-> Exceptional client experience skills.

-> 2 - 3 years of customer service experience, preferably in a medical office, spa or high-end retail environment.

-> Ability to multitask, use personal judgment, utilize strong decision making, analytical and follow-up skills

-> Proficient with personal computers and contemporary software applications.

-> Exceptional interpersonal and communications skills (verbal and written), strong ability to influence and build rapport

-> Strong guest service orientation

-> A rapid learner with the ability to grasp concepts and protocols

-> Must maintain a high attention to detail
