TITLE: Staff Accountant

DEPT: ADMINISTRATION (HR & ACCOUNTING)

EXEMPT/NON: EXEMPT

REPORTS TO: CONTROLLER

EFFECTIVE DATE: 01/2023

General Position Summary:

This position provides support to both Accounting and Human Resources depts. The ideal candidate will oversee payroll administration, process biweekly payroll, audit and reconciliation of employee benefits billings, assists with full-cycle month end close and reporting process as needed including maintenance of appropriate accounting and payroll methods, procedures and internal controls.

Essential Functions - Accounting:

1) Responsible for all accounting activities related to payroll and benefits, to include journal entries, account reconciliations and labor costing.

2) Reconciles labor expenses, to include employee benefits and taxes, to HRMS and payroll tax reports.

3) Reconciles monthly benefit bills, including audit of benefit payroll deductions in the HRMS

4) Serves as primary liaison with benefit plan providers to resolve enrollment and billing discrepancies.

5) Manages Accounts Payable and Accounts Receivable for all benefit plans, to include 401(k), FSA, Health Insurance, Workers’ Compensation, COBRA, and garnishments.

6) Provides general accounting support for all month-end close activities (journal entries, bank and account reconciliations, ECN’s).

7) Manages Accounts Payable for inter-company purchases, to include vendor invoice processing and resolution of discrepancies.

8) Provides support to Accounting during annual independent financial audit, to include schedules, workpapers, documentation and information requests.

9) Documents department procedures and work instructions, to include cross-training of personnel on critical processes.

Essential Functions – Human Resources:

1) Administers all aspects of accurate and timely bi-weekly payroll processing in the Human Resources Management System (HRMS). Includes timecard and attendance point audits and reconciliation of summary pay data.

2) Serves as primary HRMS help desk support for all employees, to include resolution of errors and discrepancies and related inquiries regarding timekeeping, attendance and payroll,

3) Ensures compliance with applicable federal and state regulations, to include wage and hour, payroll tax and protected leave.

4) Coordinates efforts between Accounting and Human Resources to validate and process new hire set-ups, benefits enrollment, benefit and pay changes, terminations and adjustments which impact payroll.

5) Maintains data and process integrity throughout the company’s HRMS, to include accurate accruals, benefit deductions, payroll and holiday calendars, and pay differentials.

Secondary Functions:

1) Processes employee reimbursements via payroll for business expense reports, travel advances, tuition and safety equipment.

2) Serves as primary back-up for the month end close and financial reporting process, to include all associated account reconciliations.

3) Provides support to Accounts Payable as needed, to include vendor invoice processing and cash disbursements

4) Provides support to Accounts Receivable as needed, to include customer invoicing and cash application.

5) Provides support to Controller on bonus payroll processing.

6) Participates in developing department objectives and systems, to include identifying opportunities for operational efficiency and implementation of process improvements.

7) Documents processes and procedures for functional back-up and audit purposes.

8) Performs other duties as assigned.

Supervisory Responsibility:

This position has no supervisory responsibilities.

· Frequent on highly confidential and sensitive matters with all levels of employees, job applicants, staffing agencies, and vendors.

· Made with others on own initiative.

· Made discretely via face to face, telephone, e-mail, and other written communication.

Knowledge, Skills & Abilities:

1) General knowledge of federal and state employment laws and human resources practices

2) Proven knowledge of generally accepted accounting principles (GAAP)

3) High proficiency using MS Excel, MS Word and integrated HRMS and ERP software.

4) Deadline-oriented with excellent attention to detail and accuracy

5) Proven ability to effectively prioritize and handle multiple, concurrent projects or assignments

6) Ability to analyze situations and to use independent judgement to address and solve problems.

7) Ability to effectively communicate, verbally and written, to all levels of the organization and external customers.

8) Ability to work independently and as a member of a team.

9) Ability to maintain confidentiality and handle such information appropriately.

Job Conditions:

· Normal office conditions with occasional exposure to production and warehouse environment

Physical Requirements:

Constant: Sitting, talking, hearing/listening, repetitive use of hands, wrists and fingers for writing and keyboarding. Occasional: Walking, standing, bending, reaching, lifting, and carrying 35 lbs. or less. Visual acuity to be able to read printed documents and computer screens.

Education & Experience:

· BA or BS in Accounting or related field

· Minimum 2 years of full-cycle Accounting experience

· Minimum 1 year of payroll experience

· A combination of education, training, and experience will be considered

· Knowledge of general accounting principles and payroll compliance requirements

· Computer Skills: HRMS, ERP, MS Office - required
