General Purpose of Job:
The Administrative Assistant performs a wide variety of administrative duties to support Driscoll Health Plan.
Essential Duties and Responsibilities:

  • Maintains utmost level of confidentiality at all times.
  • Adheres to health plan policies and procedures.
  • Demonstrates business practices and personal actions that are ethical and adhere to corporate compliance and integrity guidelines.
  • Maintains composure, effectiveness, and flexibility under pressure.
  • Uses Microsoft Office to perform a variety of assignments. Gathers data and other necessary information for preparing various reports. Types and reproduces written materials or correspondence.
  • Coordinates location, catering, presentation materials, audio-visual support and notification of meetings, appointments, conferences, telephone calls, etc. Records/transcribes meeting minutes from various meetings.
  • Answers/screens incoming telephone calls and routes call to appropriate individual or takes messages as appropriate.
  • Meeting agenda and minutes recording/preparation.
  • Assist in the scheduling of travel for the Epic Tapestry team.
  • Helps with preparation of documentation by copying, printing and organizing for the Tapestry implementation.
  • Opens, sorts and distributes incoming mail. Utilizes couriers, the US Mail and delivery services as needed.
  • Greets visitors, ascertains nature of business, and escorts visitor to appropriate person/area.
  • Orders office supplies and equipment using the authorized online ordering system.
  • Assist with Managing and Tracking employee time by utilizing the Kronos system.
  • Makes or reviews inbound and outbound travel arrangements and files related travel expense reports.
  • Has a basic understanding of claim processing, adjudication and forms for both professional and institutional.
  • May assist in the coordination/participation of special events; may help with the implementation process and coordination of services provided through awarded grants or programs that DCH may be involved in.
  • Participates in preparing material for use in newsletters, fax blasts or other communications that are sent to providers and/or members.
  • Participate in the preparation of materials for bi-weekly on-site meetings with the Epic implementation team.

Education and/or Experience:
Bachelor's degree (B. A.) from four-year college or university; or three to five years related experience and/or training; or equivalent combination of education and experience.
