Nature and Scope
This professional and highly confidential position , reporting to the VP, Chief People Officer, will serve as an assistant to the VP, Chief People Officer and provide support in all administrative duties including, calendar maintenance, travel and expense reporting. The incumbent will support the HR department for administrative and project coordination support, this will include assistance with invoices and payments and overall administrative duties. Professionally represents HR with all levels of the organization and upholds the strictest of confidentiality.
Essential Duties and Responsibilities

  • Serve as primary liaison for the VP, Chief People Officer, ensuring seamless coordination of the VP, Chief People Officer’s initiatives and responsibilities.
  • Provide calendar maintenance, domestic and global travel reservations, expense reporting, and meeting preparation for the VP, Chief People Officer and other HR Lead Team members.
  • Coordinate, plan and prepare various company meetings and conferences.
  • Maintain VP, Chief People Officer calendar & schedule appointments while leveraging VP, Chief People Officer’s time effectively with an understanding of business priorities.
  • Draft correspondence and memos, as required.
  • Maintain confidential files and reports/documents.
  • Answer and screen incoming calls to VP, Chief People Officer office and provide backup coverage for receptionists.
  • Provide administrative and project coordination for the entire HR Department.
  • Create PowerPoint slides, Word documents and Excel documents as needed.
  • Open and sort all incoming mail/faxes.
  • Perform any other tasks/duties as assigned by management.

Qualifications and Requirements
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.
  • Bachelor’s degree in Business related fields.
  • 5 years’ experience with demonstrated ability to manage projects.
  • 6 years’ experience providing administrative support to executive management
  • Ability to handle sensitive and highly confidential information.
  • Acute attention to detail.
  • Experience using Concur or other travel scheduling/expense reporting system.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Teams, etc.)
  • Excellent written and verbal skills
  • Good interpersonal and teamwork skills
