Job Description :

Ads That Disrupt is a full-service marketing agency looking for an Executive Administrative Assistant that is an extremely organized, proactive, multi-tasker with an ability to adapt in executive level environments. Our ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. This individual's innate ability to serve at various capacities is key. They should be able to assist the executive with various administrative duties including the following:

Responsibilities:

  • Protect the integrity of confidential information in all matters
  • Ability to prioritize conflicting departmental needs and requests
  • Experience in heavy calendar management
  • Aid in meeting preparation
  • Serve as primary correspondent for the CEO
  • Compose correspondence, prepare presentations, reports, to-do lists, and other ad-hoc assignments
  • Filing expense reports, including gathering of receipts and information needed
  • Travel management to include booking of travel arrangements, managing loyalty program memberships, managing travel schedules, and supporting the CEO on any changes or travel/reservation-related questions.
  • Develop a strong awareness of executive’s relationships (internal and external) and ability to handle confidential information with sensitivity, care, and discretion
  • Ability to manage multiple relationships and competing priorities with a sense of urgency, willingness, support and with a servant leadership attitude and approach.
  • Provided administrative support on major projects
  • Stay up-to-date on company evolution, announcements, protocols, etc.
  • Collaborate with ATD Executives to send out communications on behalf of executives
  • Receive, review, organize and distribute incoming mail to the appropriate business units and departments
  • Assist in planning holiday parties, company gatherings, dinners, and other corporate events

Qualifications:

EDUCATION

  • Bachelor’s degree
  • 2-5 years proven work experience in accounting or business administration or executive position
  • Proficient computer skills and in-depth knowledge of relevant software including travel and expense, purchasing, accounting, org chart and legal entity databases or similar programs.
  • Microsoft Office – expert with Outlook calendar and PowerPoint. Proficient with Word, Excel, Teams

COMMUNICATION SKILLS

  • Must possess excellent oral, written and interpersonal skills.
  • Ability to speak clearly and persuasively, as well as listen and respond well to inquiries.
  • Ability to maintain a certain level of discretion and confidentiality.

  • Ability to work in-person in our office located in Dallas, TX

Salary:

  • $50,000 - $55,000 per year
