Position Title: Benefits Specialist

Non- Exempt Reports To: Human Resources Director

The Benefits Specialist is responsible for assisting with the administration of all benefits including medical, dental, vision, life insurance and 401(k) plan. Data entry and system updates in both Kronos and ADP, as well as auditing/approving monthly invoices for all vendors and executing outbound vendor interfaces.

Essential Job Functions:

  • Ensures the accuracy of all benefits enrollments in ADP to provide vendors with accurate eligibility information.
  • Manage Benefits, to include orientation, timely enrollment/termination, and auditing/approving monthly invoices.
  • Plans and administers annual open enrollment period. This includes preparation (or revision) and distribution of materials, conducting meetings to communicate changes to employees, arranging for on-site representation by providers, and processing changes within deadlines.
  • Coordinates and conducts the new employee on boarding process and presents benefits presentations to ensure employees gain an understanding of benefit plans and enrollment provisions
  • Plans, conducts, and reports results of audits to ensure all enrollments are accurate and that dependent information is correct for each employee and works closely with accounting department for quarterly and year end audits (benefits, 401(k), etc.).
  • Addresses benefit inquiries to ensure timely and accurate resolutions. Maintains contact with employees and beneficiaries to facilitate proper and complete utilization of benefits for all employees.
  • Coordinate with third party administrator to manage disability claims according to the plan.
  • Administers COBRA enrollments/changes and responds to and manages unemployment claims
  • Performs quality checks of benefits-related data.
  • Assists employees regarding benefits claim issues and plan changes.
  • Distributes all benefits enrollment materials and determines eligibility.
  • Enrolls employees with carriers and process life status changes.
  • Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes and other general inquiries.
  • Processes and administers all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA.
  • Effectively interprets FMLA and ADA implications as they relate to leaves of absences/disabilities.
  • Administer all employee benefit programs including enrollments and terminations.
  • Resolves discrepancies with carriers.
  • Other duties as assigned

Scope of Position Responsibilities:

  • For Internal and External Relationships, Benefits Specialist interacts with all levels of HR, Department

Supervisors/Managers and their respective employees. Benefits Specialist will also interact with outside vendors at ADP, Kronos and other vendors as required.

Education:

  • Associate’s degree in HR or related field, but experience and/or other training/certification may be substituted for the education.

Experience:

  • Two years’ experience in benefits administration.
  • Bi-lingual English/Spanish required
  • Excellent communication skills, both written and verbal
  • Excellent time management, organizational, and follow-through skills.
  • Has shown ability to respond quickly and accurately to requests for data, ability to provide excellent customer service a must.
  • Ability to respect, protect and maintain highly confidential information
  • Ability to work independently, or with little supervision

Working Conditions: Working conditions described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. Ability to stoop, kneel, bend at the waist, and reach daily. Lift and move up to 20 pounds occasionally.
