I am seeking an Administrative/Personal Assistant to manage my office and assist in other duties. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. Candidates need to have excellent communication skills and an upbeat attitude, handle a variety of clerical and administrative tasks, assist all visitors and patients on location, provide polite and professional assistance via phone, mail, and e-mail, and generally be a helpful and positive presence in the workplace. Candidates need to dress professionally at all times. They need to always be prepared and responsive, willing to meet challenges, comfortable with computers, general office tasks, and excel at both verbal and written communication; should have a genuine desire to meet the needs of others, is resourceful, a good problem solver, and organized, assuring a steady completion of workload in a timely manner.

The duties of an administrative assistant include answering telephones, scheduling and managing appointments, providing administrative support to ensure efficient operation of the office, and may direct and lead the work of others. YOU WILL BE RESPONSIBLE FOR CONFIDENTIAL AND TIME-SENSITIVE MATERIAL AND NEED TO BE FAMILIAR WITH HIPAA REGULATIONS.

Responsibilities

  • Answer and screen phone calls
  • Provide real-time scheduling support by booking appointments and preventing conflicts.
  • Act as the point of contact for all patients and business associates
  • Greet and provide general support to visitors
  • Maintain contact lists
  • Maintain polite and professional communication at all times.
  • Respond to questions and requests for information
  • Use computers to assist in the preparation of regularly scheduled reports, write and distribute email, correspondence memos, letters, faxes, and forms
  • Knowledge of billing and verifying insurance coverage
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Submit and reconcile expense reports
  • Manage workflow by prioritizing tasks, ensuring that deadlines are met and work is completed accurately.
  • Assume responsibility for maintenance of office equipment, including computers, copy machines, fax machines, and phones.
  • Assume responsibility for keeping the home office cleaned.
  • Other Duties as assigned.

Requirements

  • Previous experience as an administrative assistant or office assistant (preferred)
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, such as computers, printers, copiers, fax machines, phones, and routers.
  • Excellent computer skills, especially typing.
  • Proficiency in MS Office with expertise in MS Word and Excel, QuickBooks, and knowledge of MS Access is preferred
  • Excellent time management skills and the ability to prioritize work
  • Work independently with minimal supervision
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task and complete tasks in a timely manner
  • Ability to analyze and revise operating practices to improve efficiency
  • Comfortable working in a fast-paced office environment
  • Desire to be proactive and create a positive experience for others.
  • Knowledge and understanding of privacy laws related to a medical setting.
  • Experience working in the medical field is a plus
  • High school diploma or equivalent; college degree preferred
  • Bilingual is a plus

MUST BE ABLE TO PASS DRUG TEST, AND CRIMINAL AND CPS BACKGROUND CHECK!

Pay is dependent on experience with opportunity for increase after 90 days and annual performance review raises.

Job Type: Part-time

Pay: From $10.00 per hour
