Job Description

Overview: The Administrative Assistant for Overland Park Christian Church (OPCC) provides essential clerical, organizational, and administrative support to the Pastors and Congregation to enable an effective, caring, and outreaching, ministry of Overland Park Christian Church. The administrative assistant works collaboratively with, and reports to, the Senior Pastor, and works in concert with the entire OPCC team of staff. The essential duties of the OPCC Administrative Assistant are not limited to, but primarily include:

Reception

  • Welcoming and assisting visitors into the church, including food pantry / dairy pantry clients and Harvester’s deliveries, and clients for all OPCC tenants
  • Answering telephone and email, receiving and transmitting phone and email messages for other OPCC staff and lay leaders while maintaining necessary confidentiality
  • Retrieving and distributing physical mail to OPCC staff, lay leaders, and OPCC tenants
  • Serving as point of contact for pastors in their absence including assistance in tracking needs of church community such as surgeries, hospitalizations, grief, loss, and transitions.
  • Managing the OPCC calendar for church events, and building use by all OPCC tenants and building users.

Administration

  • Proficiency in the church database to maintain and update church membership records, (names, addresses, emails, email lists, birthdays, anniversaries, etc.) providing membership summaries and other reports as requested (Database Specific On-The-Job Training Available)
  • Collecting and tracking attendance at various church activities, including worship
  • Responding to requests for church and membership records including annual reporting to the Regional and General level church
  • Recruiting, training, and supervising office volunteer coverage as needed
  • Utilizing and maintaining front hallway communication including the television and bulletin boards, updated calendars and activity sign-ups
  • Maintaining the master church calendar, including regular communication with OPCC staff and all OPCC tenants
  • Proficiency in and management of the church phone and messaging programs, and copier / printer / scanner, including regular communication with service professionals
  • Assisting OPCC staff and lay leaders with clerical support, including but not limited to o Physical newsletter preparation, Weekly worship bulletin preparation, and Special mailings and church communication
  • Generating church-wide notifications (email, phone, or text) of special events, prayer requests, and emergency notifications such as closings due to weather or other unforeseen circumstances
  • Working with the OPCC Communications Coordinator to process acknowledgement of memorial contributions and various membership records
  • Maintaining an inventory of office supplies and equipment and ordering / purchasing necessary church and office supplies as requested by staff and lay leaders

Worship

  • Assisting in organizing weekly volunteer positions in worship, communicating their roles and preparing necessary materials
  • Preparing necessary music leadership materials at the request of the OPCC Director of Music (i.e. song leader books)

Web Presence and Social Media

  • Regularly checking for updates and organizing the OPCC website (Weebly CMS Specific On-The-Job Training Available)
  • Updating weekly the OPCC Worship this Week page including the online bulletin and embedding of the virtual worship experience from YouTube
  • Regularly updating and / or scheduling updates to OPCC social media channels through Later.com or other similar platform

Qualifications:

  • High school diploma or GED, required. Additional education welcomed
  • 2-3 years of clerical, secretarial, or office experience
  • Proficient computer skills, including Microsoft Office
  • Experience with database management preferred, training available
  • Self starter who shows initiative
  • Strong verbal and written communication skills
  • Comfort with routinely shifting demands
  • High degree of attention to detail
  • Collegial and collaborative work style with high levels of initiative and personal responsibility
  • Successful experience working with a team of staff
  • Agreement to and signing of a Confidentiality Disclosure
  • Personal faith / belief IS NOT required, though a commitment to OPCC vision / mission statement and core values is expected

Benefits:

A slower pace at OPCC allows for someone seeking a remote job to work both jobs at the same time. OPCC needs a receptionist who is in-person during regular business hours, but a slower pace of work allows for an additional job to be completed while at the OPCC office. This position would be great for a student who can study, a photographer or self-employed individual who would like supplemental income with the ability to work from the OPCC office.

Job Types: Full-time, Part-time, Contract

Pay: Up to $17,000.00 per year
