Admin/Accounting Assistant/Payee Position

Job Description

Part time position in office at Calmar, IA. Flexible hours working for a non-profit that cares about their and employees and clients. We take work-life balance seriously! ESSENTIAL JOB FUNCTIONS

  • Answer phones and emails, take messages and direct calls.
  • Get the mail and sort, scan and distribute mail.
  • Keep inventory of office supplies

Supportive Services

  • Create budgets and spending plans with client and CM to manage client finances.
  • Create and maintain respectful and trusting relationships with clients, offering support and de-escalation as needed during direct service and in program communications.

Administrative and Financial

  • Create/Maintain Quarterly reports with client budgets; includes rent/tenant basic needs payments, building fees, repayment plans, and other vendor payments.
  • Set up payments in RPM software to reflect bills, needs and distributions weekly;
  • Collect appropriate vendor and billing information for third party payments and provide vendor and payment information to Finance.
  • Maintain release of information forms for third parties.
  • Ensure that clients’ SSI/SSA benefits are deposited to their payee account; weekly check bank accounts associated with Payee Program ensuring that deposits and debits reflect the information in RPM.
  • Ensure that rent and other third-party payments are paid in accordance with established budget, and that clients’ personal funds are available via check, prepaid debit card, etc
  • Monitor account balances monthly to ensure compliance with SSI and Medicaid resource limits as applicable.
  • Maintain communication with SSA, and ensure information is updated and program operates in compliance with all SSA guidelines; includes completing annual reporting.
  • Follow Guardians of Northeast Iowa Inc program and agency policies and Provide input to program policies, procedures and goals as requested

Collaborative

  • Work collaboratively with all Guardians of Northeast Iowa Inc departments to uphold the organization’s mission.
  • Work collaboratively with Finance to troubleshoot problems or errors that may occur.
  • Maintain collaborative relationship with SSA so that clients’ needs are served promptly, and program operates efficiently.
  • Participate in Guardians of Northeast Iowa Inc committees and workgroups as appropriate.

Other

  • Fulfill other duties as directed by Supervisor.
  • Maintain a clean office, including dusting, vacuuming, cleaning kitchenette and bathroom and removing snow from walkway
  • Able to lift up to 10 pounds regularly and up to 50 pounds occasionally.

ESSENTIAL JOB QUALIFICATIONS

Education: Minimum of a High School Diploma or GED equivalent with two to three years related experience required. AA in related field preferred in related field.

Experience:

  • Experience with bookkeeping and accounting processes
  • Proficiency with automated systems and willingness and ability to learn new software packages.

Other Qualifications:

  • Ability to travel amongst Guardians of Northeast Iowa Inc clients on regular basis.
  • Excellent customer service with the ability to clearly communicate verbally and in writing
  • Able to work independently, with initiative, and handle multiple priorities and tasks
  • Able to work cooperatively in partnership with community agencies and resources
  • Ability to be flexible, supportive and to work cooperatively with staff as a member of a multi-disciplinary and diverse team.
  • Knowledge of Microsoft Office applications; particularly Word, and Excel.
  • Knowledge of Google Suite
  • Administrative skills to include standard office equipment, attention to details and filing.
  • Must pass all applicable abuse and criminal background checks. Must possess a valid Iowa driver’s license.
  • Ability to produce high quality work reflecting attention to detail and accuracy.

Job Type: Part-time

Pay: $15.00 - $17.00 per hour
