A/R Accountant & Admin Assistant for Residential Construction Company

Design Line Construction is a high end residential general contractor headquartered in San Francisco serving local clients in the Bay Area.

We are currently searching for an A/R Accountant and Office Admin to join our team. The main function of this position will be to lead the process of compiling client billing packages out of our enterprise construction software, Spectrum. Secondary duties will revolve around office administration and providing support to the accounting team and Design Line staff at large both in office and for our job sites. The ideal candidate will be very detail oriented, organized, able to leverage technology, a good communicator, savvy problem solver, and have the ability to innovate in these current times.

Accounting Duties and Responsibilities:

-Create bi-weekly and monthly billing packages for clients in Spectrum and compiling backup documents for sub-contractors and billable items

-Entering staff time card detail into Spectrum after each payroll to prepare for client billings, verifying accuracy of data

-Backup Controller on Payroll processing when needed

-Calculate cost allocations across projects for various administrative and people costs

-Communicate with Project Managers and Project Engineers to ensure meeting of billing timelines and proper documentation, ensure Change Orders are in Spectrum in line with billing timelines, follow up for any special instructions or client needs

-Ensure all documents are saved to Dropbox in proper file locations

-Support A/P Manager and Controller as needed

Admin Duties and Responsibilities:

-Manage office supply orders and employee requests for supplies and equipment

-Assisting Controller, CEO, and HR Manager with assigned tasks

-Job Site Safety and OSHA reporting management

-Lead new job setups for on-site equipment and start up requirements

-Assist with IT management, computers and peripherals for employees, network and tech support issues with our managed IT services partner

-General office management, ie – cleaning, organization, kitchen/break room, supplies etc.

-COVID-19 safety supply management for job sites (if applicable)

-Event planning and client care initiatives at year end

Experience and Qualifications:

-3 to 7 years experience working in an Accounting function, preferably in A/R and billing

-1 to 3 years experience in office admin operations and management

-Associates or Bachelors degree in Accounting or Business

-Prior payroll experience preferred

-Enterprise software experience, Construction Software a big plus. Spectrum/Viewpoint preferred, candidates with Spectrum experience are highly sought (Quickbooks, Xero, etc is ok but we use a more advanced system)

-Savvy user of online tools and cloud-based systems, able to move seamlessly between working remotely and in office

-Working knowledge of MS Office Suite, MS Excel, Outlook, Word. Dropbox experience preferred

-Proper client communication skills both written and verbal

Bonus Points:

-Experience in Spectrum Accounting Software

-Experience with payroll processing providers (ADP, Paychex, Paylocity, Paycom etc.)

-Construction industry experience

-Preference to locally based in Bay Area with ability to be on site in office as needed

Compensation and Benefits:
